Help! I need a system for forward and email to several people at once! (14 posts)

  • I have an Association and when a customers wants more information on the services provided by our members they currently fill in a form on our website. upon clicking submit the system will send me the email and BCC: it to the rest of the list. I have reached the limit of BCC I can have  in the system.  I need a program or service I can send these emails to and the system will then send them to everyone on my list.

  • @djkyle Wow, I have a bunch of thoughts on this but the first that pops into my head is to create a new Twitter account that’s marked private and only keep those Bcc’ers subscribed. That way, they’ll get a free tweet instantly, which they can get via SMS (ie. texting) as well as the longer message.

    Another way is to use to break-up your Bcc list into 2 or 3 groups and then programmatically send 2 or 3 emails. I helped my wife with this when we had to distribute emailing to our school’s PTA group. 

    Another way is to check your email/web provider and see if they have a Newsletter feature whereby you can programmatically create and distribute the email as an instant Newsletter.

    Another idea is to choose a social emailing service like ConstantContact, VerticalResponse, MailChimp, iContact, PinPointe, etc. There’s many services to choose. 

  • @robmitchell I have Mailchimp and have tried the others and they don’t support this situation.  As for the Twitter I will look in to that.  I have used twitter for other things.  My only concern is each Lead has in excess of 1500 characters.

  • Do you have a website? Does your web hosting ISP also include email for your hosted domains? (Almost all do.)

    Here’s what I’ve done in similar situations. I set up a “dummy” forwarding-only email address through the ISP’s email configuration tool. Say, “notifications@yourdomain.com.” That address is configured to automatically forward emails to each individual you want to receive these notifications.

    Then, you simply add the dummy forwarding email address as the only BCC. The ISP’s email system will take care of forwarding the email to each person.

    If you need to add or delete a person, you just update the list of email addresses the dummy address forwards to.

    I second @dianeaull suggestion.

    If your hosting service uses a cPanel the link you are looking for is “Forwarders” Setting up multiple forwarders that forward from one email address to any number of email addresses is definitely be the simplest solution.

  • It looks like this will work I am setting up the forwards now and will let you know how it goes.  I have almost 200 forwards to set up.

  • @djkyle Wow, considering forwarders have to be set up one at a time that’s not as simple as I had thought. But once it’s done, the list of people will probably be easier to manage.
